Administration Executive

As an Administrative Executive you will be supporting the Office & Administration Manager, with a range of tasks that help to keep the whole Research in Finance team operating smoothly. In addition, you will be expected to support the Community Manager providing back up for any online community related project. This role has plenty of variety and requires some serious multi-tasking.

You will report to the Office & Administration Manager but work very closely with other members of the team and in particular to support the Chief Operating Officer as required.

 

Key accountabilities:

Recruitment for and scheduling interviews as part of research projects that require qualitative insight

  • Providing support and back-up for online communities
  • General project admin to the wider team as need be
  • Office admin to support the Office & Administration Manager

 

Other responsibilities include:

Recruiting and scheduling for qualitative studies:

  • Arranging a timetable based on participants and researcher’s availability, confirming participants participation, and sending confirmation calendar invites. Updating the relevant panel with confirmed participants.
  • Ensuring interviews go ahead as planned, troubleshoot any issues and organising reimbursements for participant’s time.

Online communities:

  • Help set up the community with client’s materials, monitor participants responses, chasing slow participants and ensuring all activities are completed. Updating the activity tracker as the community progress.
  • Recruiting, managing and reimbursing participants.

General Project Admin:

  • Assisting the project manager on any research project as and when needed
  • Ensuring the project management software has correct timings for projects and that the wider research team are keeping this updated as timelines change.
  • Supporting other teams if they need a little extra help to ensure the project keeps on track.

Office Admin:

  • Assisting the Office & Administration Manager as need be, ensuring the office is well equipped and running smoothly.
  • Helping organising company socials and feed in/run ideas to improve company culture and individual wellbeing.
  • Creating ‘How To’ and ‘Standard Procedure’ documents.
  • Implementing new ideas to improve the existing processes for the team and improve efficiency.
  • Organising the Summer and Christmas Parties for the whole company with assistance from the Office & Administration Manager.

 

Key Skills/Experience required:

  • Previous experience of working in an admin role in a busy office environment
  • Demonstrate effective team working skills
  • Must be proactive and be able to use their own initiative.
  • Have strong IT Skills with a good knowledge of Microsoft Office applications in particular Word, Excel and Powerpoint.
  • Excellent communication skills
  • Be efficient, able to multitask whilst having good attention to detail.
  • Willingness to learn and grow with the team/ company.
  • Prepared to work in the office 4 days a week
  • No previous knowledge of market research or financial services is required
